CircuitHQ Terms of Service
Version: 2026-10b
Last updated: 29 October 2026
These terms apply to the CircuitHQ website (www.circuithq.co.uk), the CircuitHQ app (app.circuithq.co.uk) and the CircuitHQ demo (demo.circuithq.co.uk), together called "CircuitHQ" or "the Service". Please read them carefully. By ticking the box at sign-up, or by using the Service, you agree to them on behalf of your business.
1. Who we are
CircuitHQ is run by P P M Electrical Ltd, a company registered in England and Wales with company number 09676729. Our registered office is 29 Wedgewood Drive, Spalding, Lincolnshire, PE11 3FJ. Our VAT number is GB217638889.
In these terms, "we", "us" and "our" mean PPM Electrical Ltd. "You" and "your" mean the business that signs up for CircuitHQ, and "users" means the people you allow to use your CircuitHQ account.
You can contact us at info@circuithq.co.uk.
2. Other documents that form part of these terms
These terms work alongside:
- our Privacy Policy at https://www.circuithq.co.uk/privacy, which explains how we use personal data about you and your users; and
- our Data Processing Agreement (DPA) at https://www.circuithq.co.uk/dpa, which covers the personal data about your own customers and staff that you put into CircuitHQ. The DPA forms part of these terms.
If these terms and the DPA conflict on anything about personal data, the DPA wins.
3. Business use only
CircuitHQ is built for businesses, such as electrical contractors and solar PV installers. It is not for consumers.
To use the app you must:
- be at least 18 years old;
- be using CircuitHQ for your trade, business or profession; and
- have authority to accept these terms for the business you sign up.
Because CircuitHQ is a business service, consumer protection rights that apply only to consumers (for example, the 14-day cooling-off period for online purchases) do not apply.
If you buy a Homeowner DNO Pack as a homeowner for your own home, these terms do not apply to that purchase. It is covered by our separate Homeowner DNO Pack Terms at https://www.circuithq.co.uk/homeowner-dno-terms.
4. Your account and users
- You must give us accurate details when you sign up and keep them up to date.
- Each user has their own username and password. Users must keep their login details private and must not share accounts.
- You choose who can use your account and what each user can see and do (their role and permissions). You are responsible for everything your users do in CircuitHQ.
- Tell us straight away at info@circuithq.co.uk if you think someone has got into your account without permission.
- The number of users you can have depends on your plan (see section 5).
5. Plans and prices
All prices are in pounds sterling and are plus VAT at the current rate. Plans are billed monthly. There is no annual plan.
| Plan | Price (+ VAT) | Users | AI reads included each month |
|---|---|---|---|
| Solo | £29 per month | 1 user, plus up to 3 extra users at £15 each per month | 200 |
| Team | £79 per month | Up to 5 users | 1,000 |
| Business | £179 per month | Up to 20 users | 3,000 |
We may change our prices. If we do, we will give you at least 30 days' notice by email or in the app before the new price applies to you. If you do not want to pay the new price you can cancel before it takes effect.
6. Free trial
- New businesses can try CircuitHQ free for 14 days on the Team plan. You do not need to give card details to start the trial.
- The trial includes 50 AI reads in total.
- When the trial ends, your account becomes read-only until you choose a paid plan. You can still see and export your data, but you cannot add or change records.
- We may limit the trial to one per business.
7. Launch offer
- For a limited time, new businesses get 50% off for the first 3 months of their first paid subscription.
- The discount starts when you first pay, which is normally after your free trial ends.
- It covers the plan price and any Solo extra users. It does not cover AI top-ups.
- The discount is applied at checkout. After the 3 months, the normal price applies.
- We may end or change the launch offer for new sign-ups at any time. This will not affect a discount you have already started.
8. Billing and payment
- Payments are taken by our payment provider, Stripe. Your card details are held by Stripe and never reach CircuitHQ.
- Your subscription renews automatically each month and is charged in advance, until you cancel.
- We will send VAT invoices or receipts through Stripe.
- If a payment fails, we may make your account read-only or suspend it until payment is made (see section 15).
- Except where the law says otherwise, payments are not refundable, including for part months, unused users or unused AI reads.
9. AI reads, allowances and top-ups
CircuitHQ can use artificial intelligence (AI) to read information from photos and documents, such as distribution board photos, tester screen photos (including PAT testers), old certificate PDFs, datasheets and supplier bills. Each time you ask CircuitHQ to read an image or document, that counts as one "AI read".
- Each plan includes a monthly allowance of AI reads (see section 5). The allowance is shared by all users in your business.
- You can buy top-ups of 300 AI reads for £5 (+ VAT).
- If you reach your limit, only the AI features pause. The rest of CircuitHQ keeps working. We never charge you automatically for going over your allowance. You decide whether to buy a top-up or wait for your next monthly allowance.
- Unused monthly reads do not carry over to the next month. Top-up reads are used after your monthly allowance runs out, and do not expire while your account is open.
- AI features may be limited or switched off on the demo site.
To provide AI reads we send the image or document to our AI provider, xAI. See our Privacy Policy and DPA for more detail.
10. AI results: you must check them
This is important. Please read it carefully.
AI can make mistakes. It can misread numbers, miss information, or produce results that look right but are wrong. This includes test results, circuit details, ratings, readings from tester screens, and details from datasheets and supplier bills.
- You must check every AI-extracted result against the original photo, document or reading before you rely on it, save it to a certificate or report, send it to anyone, or use it for billing.
- AI results are a starting point to save typing time. They are not a substitute for your own inspection, testing, measurement and professional judgement.
- You remain fully responsible for the accuracy and completeness of all certificates, reports, test results, schedules and other records you create or issue using CircuitHQ, including EICRs, EICs, Minor Works certificates, PV test and commissioning records, MCS paperwork and PAT records.
- You remain responsible for complying with all standards, regulations and scheme rules that apply to your work, including BS 7671 (the IET Wiring Regulations), MCS standards, the IET Code of Practice for In-service Inspection and Testing of Electrical Equipment, Building Regulations, and the rules of any competent person or certification scheme you belong to.
- CircuitHQ is a tool to help you record and manage your work. It does not inspect, test, design, certify or approve any installation, and it does not give technical, legal or compliance advice.
To the fullest extent the law allows, we are not responsible for any loss caused by an AI result that you did not check, or by any certificate, report or record that you issued.
11. Acceptable use
You and your users must not:
- use CircuitHQ for anything unlawful, fraudulent or harmful;
- upload anything you do not have the right to upload, or anything that infringes someone else's rights;
- upload viruses or harmful code, or try to get into parts of CircuitHQ, other businesses' data, or our systems that you are not allowed to access;
- try to copy, reverse engineer, resell or rent out CircuitHQ, or build a competing product from it;
- use automated tools to scrape CircuitHQ or put an unreasonable load on it;
- misuse the AI features, for example by deliberately trying to get around usage limits; or
- issue certificates or reports that you know or suspect to be false.
12. Lead Finder
Lead Finder helps you find possible work. It uses:
- your own customer records, for example EICR renewals that are due, outstanding remedial work, battery upgrades for past PV customers, and PAT retests that are due; and
- public data, namely public planning application data from planning.data.gov.uk open data and council planning lists that you import (address and description, which may include an applicant name where the council publishes it). We will update these terms before we add any other public property data source.
Your responsibilities when contacting leads:
- You are responsible for making sure any marketing or contact you make is lawful, including under the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
- Leads from public data are flagged "letter only". You must contact them by post only. Do not make cold calls, or send marketing emails or text messages, to public-data leads.
- For your own customers, you are responsible for checking you have a lawful basis and, where PECR requires it, consent or a valid "soft opt-in" before sending marketing emails or texts, and for screening calls against the Telephone Preference Service where required.
- You must respect anyone who asks you not to contact them again.
- Public data may be out of date or wrong. We do not guarantee that any lead is accurate, or that it will turn into work.
13. Your data and your customers' data
- You own your data. This includes the records, photos, files, signatures and certificates you and your users put into CircuitHQ ("Your Data").
- You give us permission to store, process and display Your Data only as needed to run CircuitHQ for you, to keep it secure, and to fix problems.
- Your Data is kept separate from other businesses' data.
- When Your Data includes personal data about your customers, staff or other people, you are the controller and we are your processor. Our DPA applies and sets out how we handle that data.
- You are responsible for having a lawful basis to put personal data into CircuitHQ and for giving your own customers any privacy information they need. If you use the CircuitHQ enquiry form on your own website, you are responsible for your own privacy notice and for the consent wording.
- Export: you can export your business's data from CircuitHQ.
- Deletion: you can ask us to delete your business's account and data by emailing info@circuithq.co.uk. We will delete your users, records and files. Copies in our backups are deleted automatically within 30 days.
- You should keep your own copies of any certificates and records you need to keep by law or under your scheme rules. We keep them while your account is open, but how long you must keep them is your responsibility, so export copies before you close your account.
14. Xero integration
- You can choose to connect your own Xero account to CircuitHQ. This is optional.
- When connected, CircuitHQ syncs invoices, payments, customers, suppliers and bills in both directions between CircuitHQ and your Xero account. This means changes in one can update the other.
- Your use of Xero is governed by your own agreement with Xero. We are not responsible for Xero's service, availability or errors.
- You are responsible for checking that synced information is correct in both systems, and for your own accounts and VAT returns.
- You can disconnect Xero at any time. Disconnecting stops future syncing. It does not delete information that has already been synced to either system.
14A. ENA Connect Direct (DNO applications)
This section applies when you use CircuitHQ to submit a DNO connection application to ENA Connect Direct.
- What CircuitHQ does. CircuitHQ can submit certain connection applications directly to ENA Connect Direct, the online service run by Energy Networks Association Limited ("ENA"). ENA passes each application to the relevant distribution network operator (DNO).
- What can be submitted directly. Domestic applications only, under 17kW per phase, for:
- G98 and G99 solar PV and battery applications where every device is on ENA's device register; and
- EV chargers.
- What cannot be submitted directly. G100 (export limitation) applications, other export-limited setups, and changes to existing applications. For these, CircuitHQ prepares the forms and a draft email, and you send them to the DNO yourself.
- You review and submit. Nothing is sent to ENA automatically. An admin user, or a user you have given MCS permission, must review each application and press Submit. Pressing Submit is your instruction to us to send that application to ENA on your behalf.
- We submit using our ENA access. We send applications on your behalf, at your instruction, using our own ENA Connect Direct access. Our ENA credentials are held only on our servers and are never shared with you. Applications appear under our ENA account, and the installer's name, email and company in each application identify your business as the sender. You do not need your own ENA login to use this feature.
- Proper use only. You must only submit genuine domestic applications for installations your business is carrying out or responsible for. You must not misuse our ENA access, for example by sending test, false or duplicate applications, applications for another business, or by trying to get around the app's checks or limits.
- Limits and suspension. ENA applies rate limits, so a submission may be delayed or refused if a limit is reached. We may suspend or withdraw your access to direct submission if ENA requires it, if we reasonably think it is being misused, or if our access to ENA changes or ends. Where we can, we will tell you why. You can still use the prepared forms and send them yourself.
- You are responsible for each application. You are responsible for the accuracy and completeness of every application you submit through CircuitHQ, and for the application itself, including dealing with the DNO about it. The certificates, forms, designs, declarations and test results behind it are your responsibility. CircuitHQ is a tool for preparing and sending the application. It does not check that your installation, design or details are correct. You must have the right to send everything in the application, including the cut-out photo, and it must not infringe anyone else's rights.
- ENA and the DNO decide. ENA and the DNO make their own decisions on each application. We do not guarantee that an application will be accepted, approved or dealt with in any particular time. ENA's terms say issues with a DNO's response must be raised directly with that DNO.
- ENA is outside our control. ENA Connect Direct is ENA's service, not ours. We are not responsible for its availability, delays, errors or changes. If it is unavailable, you may need to submit later, or use ENA's portal or the DNO's own process.
- ENA's terms. We use ENA Connect Direct under ENA's own terms. You must not do anything through CircuitHQ that would put us in breach of them. If you also use ENA's own portal with your own ENA login, ENA's Connect Direct Terms of Use (https://connect-direct.energynetworks.org/terms-of-use) and Privacy Notice (https://connect-direct.energynetworks.org/privacy-policy) apply between you and ENA.
- ENA's response. We store ENA's response to each application (the application reference, the DNO, the status, the time it was submitted and any DNO comment) in your account. It is updated only when a user presses Refresh. It is kept with your other records (see section 13).
- Your customers' personal data. For a connection application, the relevant DNO is the controller, and you collect your customer's details on the DNO's behalf. Where that data is held in your CircuitHQ account, we process it only for you, as your processor, under our DPA, and we send it to ENA only when you press Submit. The application also includes the installer's name and contact details, so make sure the users concerned know this. You should give your customers the privacy information ENA recommends installers give, which names the relevant DNO and links to that DNO's privacy notice.
15. Availability, changes to the Service and support
- We work hard to keep CircuitHQ running, but we cannot promise it will always be available or free from errors. We may need to take it offline for maintenance, updates or to fix problems. We will try to warn you of planned downtime where we can.
- Some features rely on outside services (for example Stripe, xAI, Xero, ENA Connect Direct, postcodes.io, map tiles from OpenStreetMap and public planning data). If they are unavailable, those features may not work.
- We back up the app nightly, but you should keep your own exports of important records.
- We may improve, change or remove features. If we remove a major feature you pay for, we will tell you in advance where we reasonably can.
- Support is by email at info@circuithq.co.uk. We aim to reply within 2 working days (Monday to Friday, excluding bank holidays in England).
- Demo site: demo.circuithq.co.uk contains fictional data for trying CircuitHQ out. Do not enter real customer or personal data on the demo. Demo data may be reset at any time.
16. Cancelling
- You can cancel at any time through the Stripe customer portal (linked from the app).
- When you cancel, you keep access until the end of the period you have already paid for. We do not give refunds for the rest of that period.
- After that, your account becomes read-only and we keep your data so you can export it or resubscribe, unless you ask us to delete it. We keep it for 12 months after your trial ends or your subscription is cancelled. After that we permanently delete your account and Your Data, and backup copies are removed within a further 30 days. From 60 days before deletion, the app shows a notice with the deletion date and an export option. Please export anything you need before then.
17. Suspension and ending these terms
We may suspend or restrict your account (for example, make it read-only) if:
- a payment is overdue;
- you or your users seriously or repeatedly break these terms;
- your use puts CircuitHQ, our systems or other businesses at risk; or
- we have to do so by law.
We may end these terms and close your account:
- by giving you at least 30 days' notice for any reason; or
- straight away if you seriously break these terms and do not put it right within 14 days of us asking, or if your business becomes insolvent or stops trading.
If we close your account other than because you broke these terms, we will refund any fees you have paid in advance for the period after closure. We will give you a reasonable chance to export Your Data before deleting it, unless the law prevents this.
Sections that by their nature should continue after these terms end (including sections 10, 13, 18, 19 and 22) will continue.
18. Our liability to you
Nothing in these terms limits or excludes liability for:
- death or personal injury caused by negligence;
- fraud or fraudulent misrepresentation; or
- anything else that cannot legally be limited or excluded.
Subject to that:
- We are not liable for: loss of profits, revenue, business, contracts, goodwill or anticipated savings; any indirect or consequential loss; or loss or corruption of data (beyond our obligation to use reasonable efforts to restore it from our latest backup).
- We are not liable for losses caused by: AI results you did not check (see section 10); certificates, reports or records you issued; your contact with leads (see section 12); outside services we do not control, including Xero, Stripe and ENA Connect Direct; decisions or responses of ENA or any DNO; the content of applications you submit through CircuitHQ or yourself (see section 14A); or your breach of these terms.
- Our total liability to you for all claims arising out of or in connection with these terms or CircuitHQ in any 12-month period is limited to the greater of (a) the total fees you paid us in the 12 months before the event giving rise to the claim, and (b) £100. During a free trial, or on the demo, our total liability is limited to £100.
- Except as set out in these terms, CircuitHQ is provided "as is" and we do not give any other promises (for example, that it will meet your particular needs).
19. Your responsibility to us
You agree to cover our reasonable losses and costs if a third party (for example, one of your customers or a regulator) makes a claim against us because of: data you put into CircuitHQ without a lawful basis; your contact with leads; a certificate, report or record you issued; an application you submitted through CircuitHQ (see section 14A); or your breach of these terms.
20. Intellectual property
- We (or our licensors) own CircuitHQ, including its software, design, branding, templates and content, and all intellectual property in them. These terms give you a right to use CircuitHQ during your subscription. They do not transfer any ownership to you.
- You own Your Data (see section 13).
- If you send us suggestions or feedback, we may use them freely to improve CircuitHQ without owing you anything.
- You must not remove any copyright or trade mark notices from CircuitHQ.
21. Changes to these terms
We may update these terms from time to time, for example to reflect new features, prices or changes in the law. Each version has a version label and date at the top. If we make an important change, we will tell you by email or in the app at least 30 days before it takes effect. If you do not agree to the change, you can cancel before it takes effect. If you keep using CircuitHQ after that, the new terms apply. We record which version of the terms each business has accepted and when.
22. General
- Transfer: we may transfer our rights and obligations under these terms to another business, for example if CircuitHQ is sold. We will tell you if this happens. You may not transfer your account without our written agreement.
- Events beyond our control: we are not responsible for delays or failures caused by events outside our reasonable control.
- Whole agreement: these terms, the Privacy Policy and the DPA are the whole agreement between you and us about CircuitHQ.
- If part is invalid: if a court decides part of these terms is invalid, the rest still applies.
- No waiver: if we do not enforce a right straight away, we can still enforce it later.
- Third parties: no one other than you and us has any right to enforce these terms.
- Notices: we will send notices to the email address on your account. Send notices to us at info@circuithq.co.uk.
23. Governing law and disputes
These terms, and any dispute or claim arising out of or in connection with them (including non-contractual disputes), are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction.
If you have a complaint, please email info@circuithq.co.uk first so we can try to put it right. We will acknowledge your complaint within 5 working days and aim to give you a final response within 8 weeks.
